Sending a second email when nobody replied is uncomfortable for everyone. You can't tell whether the other person is busy, missed it, or is putting it off on purpose, and you don't want to become "the person who nags." But emails get buried more often than you'd think, and a second one often helps the recipient. In this article I split follow-ups into three steps (a light check, a second request with a deadline, and a payment check) and show with examples what kind of sentences fit each step.
Don't push hard all at once
If you start strong, the other person turns defensive, and if you stay weak to the end, the schedule slips. So divide it into steps. Step one raises the earlier email again in the tone of "in case you missed it." Step two adds a date and the effect on your own schedule. Step three, for matters where facts count such as money or contracts, states the basis (invoice number, dates) exactly. As the steps go up, expressions of emotion don't increase. What increases is the dates and the specifics.
Follow-up email examples by step
Example 1. Step one: a light second check
Use this when three or four days have passed with no reply. On the assumption that the other person may not have seen it, remind them of the earlier email briefly.
Email example · First check
SubjectRe: [Quote request] 50 office chairs: checking in
Dear Mr. Park,
This is OOO from △△ Trading.
I'm writing again in case you missed the quote request I sent last Friday (October 4). I have restated the request below.
- Item: 50 office chairs
- Desired delivery: mid-November
- Request: a quote that includes unit price, shipping cost, and warranty period
If you have already sent it and I just couldn't find it, please let me know. Thank you for your time.
Best regards,
OOO
The subject keeps "Re:" so the conversation thread stays connected. I restated the request in the body so the other person can answer without having to dig up and open the earlier email. "If I just couldn't find it" gives the other person a way to keep face.
Example 2. Step two: asking again with a deadline and the effect
Use this when you checked once, there's still no reply, and your own schedule is beginning to be affected. Leave out emotion and write only dates and reasons.
Email example · Second request
Subject[Second request] Office chair quote, needed by the morning of Wed 10/16
Dear Mr. Park,
This is OOO from △△ Trading.
I asked for a quote on October 4 and 9 and have not yet received an answer, so I am writing again.
Our internal purchase approval closes on October 17, so if I receive the quote by the morning of Wednesday the 16th, I can include it in this round of approval. If that is difficult, please tell me what schedule is possible. If the dates don't fit, we may have to proceed with another company's quote.
I'm sorry to trouble you in the midst of your busy schedule. Please confirm.
Best regards,
OOO
This email includes the two dates on which I asked, so the fact that "I have already contacted you several times" comes across without emotion. "We may proceed with another company" in the last sentence is not a threat but a plain statement of a result that could arise from the approval schedule. Use it only when it really could happen.
Example 3. Asking for confirmation of a payment
Use this when an invoice's payment deadline has passed. State facts such as the amount, invoice number, and deadline exactly, and include an open sentence asking them to tell you if it is already handled.
Dear Mr. Kim,
This is OOO from the Management Support team at △△ Trading.
The payment deadline for invoice No. 2024-0317 (supply amount ○○○ KRW), which we sent on September 25, was October 10, and as of today we have not confirmed receipt of the deposit, so I am writing to ask.
If you have already processed it, please tell me the payment date and the name of the depositor so that I can check. If not yet, please let me know the expected date. If you need the invoice sent again, I will resend it today.
I would appreciate your reply once you have confirmed.
Best regards,
OOO
In money matters, writing the facts exactly is more effective than raising your tone. With the invoice number, dates, and amount, the other side's accounting team can find it immediately. The open sentence "if you have already processed it" reflects that a mismatch is the most common cause.
How I fixed a sentence that read as nagging
A follow-up email comes across as unpleasant usually not because of the follow-up itself but because emotion or blame is mixed in.
Polishing example: a second request with irritation showing
OriginalMr. Park, there's still no reply, so I'm writing again. You must have seen the email, so I don't understand why you haven't answered. We have a schedule too, so please check quickly and reply. I'm still waiting.
RevisedMr. Park, I'm writing again because I haven't yet received an answer to the quote requests I sent on October 4 and 9. Our internal approval closes on the 17th, so I need the quote by the morning of the 16th. If that is difficult, please tell me what schedule is possible.
What changed and why
"There's still no reply" became "I haven't yet received an answer to the requests I sent on October 4 and 9." It is the same fact, but with dates it becomes a record instead of blame.
"You must have seen the email, so I don't understand why you haven't answered" was deleted. A sentence guessing the other person's intent, right or wrong, invites defensiveness.
"We have a schedule too" became the specific "approval closes on the 17th, so I need it by the morning of the 16th." Explaining your own circumstances works better than pressure.
"Quickly" and "I'm still waiting" became a date and an exit: "if that is difficult, tell me the schedule."
The order of a follow-up email
All three examples first mention the earlier email, restate what is needed, give a date, and leave an exit. As the steps rise, the dates and effects become more specific. Here are sentences you can use as they are.
Mention the earlier email: "I'm writing again about ○○, which I sent on ○."
What you need: "Could we receive ○○ by ○?"
Reason: "Because of our internal schedule, we need to decide by ○."
Exit: "If you have already sent it, please let me know." / "If that is difficult, please tell me what schedule is possible."
Closing: "I'm sorry to trouble you in the midst of your busy schedule."
Expressions to avoid when following up
Expression to avoid
Why
Use instead
"There's still no reply"
It sounds like blame and brings back a defensive answer.
"I haven't yet received an answer to my request of ○"
"You must have seen the email"
It guesses the other person's intent and causes offense.
"In case you missed it"
"I'm still waiting"
It sounds like pressure and has no deadline.
"If you let me know by ○, I will proceed with ○○."
"Please check quickly"
The standard is vague.
"Please confirm by the morning of ○."
"I can't wait any longer"
No concrete consequence, only emotion is left.
"If there is no answer by ○, we will proceed with ○○." (only when you really will)
"I've told you several times"
It counts the times and harms the relationship.
"Regarding the matter I requested on ○ and ○"
Check before sending
Are the date and content of the earlier email briefly restated?
Are what you need and the deadline written as a date and time?
Are there no sentences left that blame the other person or guess their intent?
Is there an exit for the case where it is already handled or difficult?
For something like a payment, are the amount, number, and deadline correct?
