"자료 보내 주세요"라는 같은 용건도 어떤 톤으로 쓰느냐에 따라 받는 사람의 반응이 달라집니다. 어떤 메일은 바로 답이 오고, 어떤 메일은 읽고 불쾌했다는 말을 듣습니다. 톤은 타고난 문장력의 문제가 아니라 몇 가지를 보고 정하는 선택에 가깝습니다. 이 글에서는 "받기로 한 자료가 아직 안 왔다"는 하나의 상황을 공손, 단호, 간결 세 가지 톤으로 써 보고, 어떤 경우에 어느 톤을 고르는지 정리합니다.
톤은 이 세 가지를 보고 정합니다
첫째는 상대와의 관계입니다. 처음 연락하는 상대와 몇 년을 같이 일한 상대에게 같은 톤을 쓸 수는 없습니다. 둘째는 이번이 몇 번째인가입니다. 처음 묻는 거라면 부드럽게, 두 번째라면 기한을 분명하게 쓰는 것이 자연스럽습니다. 셋째는 급한 정도입니다. 급한 일일수록 인사말과 완충 표현은 줄이고 요청과 기한을 앞에 둡니다. 이 세 가지를 같이 놓고 보면 어떤 톤이 맞는지 대체로 답이 나옵니다.
같은 상황, 세 가지 톤
예시 1. 공손한 톤 — 처음 확인할 때
이럴 때 쓰세요약속한 날짜가 막 지났거나 하루 이틀 남았고, 아직 한 번도 재촉한 적이 없을 때. 상대가 잊었을 가능성을 열어 두는 톤입니다.

"혹시", "놓친 것이라면"처럼 상대가 체면을 잃지 않을 길을 열어 두었습니다. 처음 확인하는 메일에서는 이 정도가 적당하고, 이 메일에서는 요청과 기한이 흐려지지 않는 선까지만 완충합니다.

톤이 단호해지는 건 말투가 거칠어서가 아니라 날짜가 구체적이고 선택지가 좁아서입니다. "어려우시면 오늘 중으로 알려 달라"는 문장이 압박처럼 들리지 않으려면 그에 맞춰 일정을 조정하겠다는 말이 같이 있어야 합니다.

이럴 때 쓰세요같은 팀이나 가까운 동료에게 급하게 확인이 필요할 때. 인사말은 짧게, 요청과 시각을 맨 앞에 둡니다.

간결하다는 건 정보를 빼는 게 아니라 인사와 완충을 줄인다는 뜻입니다. 이 메일에도 무엇을, 언제까지, 왜가 모두 들어 있습니다. 대신 "죄송하지만" 같은 앞머리와 길게 풀어 쓴 사정은 없습니다.
톤은 세 군데서 조절됩니다
세 메일을 나란히 놓고 보면 톤을 바꾸는 장치는 많지 않습니다. 하나는 인사와 완충 표현의 양입니다. 공손한 메일에는 "혹시", "여쭙고자"가 들어가고 간결한 메일에는 없습니다. 다른 하나는 기한을 쓰는 방식입니다. 공손한 메일은 "목요일 오전까지 받을 수 있으면 큰 도움"이라고 쓰고 단호한 메일은 "17일 오전 11시까지는 받아야 합니다"라고 씁니다. 마지막은 상대에게 열어 주는 출구입니다. 출구가 있으면 단호해도 압박으로 읽히지 않습니다. 도구에서 톤을 고르는 것도 결국 이 세 가지를 한 번에 정하는 일입니다.
날이 선 문장을 고치는 예
톤 문제는 대개 의도하지 않게 차갑거나 공격적으로 읽히는 문장에서 나옵니다. 아래 원문은 쓴 사람은 단호하게 쓴 것이라 생각했지만 받는 사람은 책망으로 읽을 가능성이 높은 문장입니다.

무엇이 왜 바뀌었나
"저번에도 말씀드렸는데"를 날짜(지난 10일)로 바꿨습니다. 같은 사실을 전달하면서 책망의 어감만 뺀 것입니다.
"저희도 곤란합니다"를 "이 자료가 있어야 금요일 작업을 시작할 수 있다"로 바꿨습니다. 감정 대신 구체적인 영향을 알려 주는 쪽이 상대가 움직이기 쉽습니다.
"왜 이렇게 오래 걸리는 건지 모르겠습니다"는 삭제했습니다. 질문 형식의 불만은 상대가 답할 수 없어서 방어만 하게 만듭니다.
Even the same request, "please send the document," gets a different reaction depending on the tone you write it in. Some emails get an answer right away, and some leave the reader offended. Tone isn't a matter of natural writing talent; it is closer to a choice made by looking at a few things. In this article I write one situation, "a document we were promised hasn't arrived," in three tones (polite, firm, and brief), and sum up when to pick which.
Tone is decided by these three things
The first is your relationship with the other person. You can't use the same tone with someone you are contacting for the first time and someone you've worked with for years. The second is how many times you've asked. If it is the first time, soften it; the second time, make the deadline clear. The third is urgency. The more urgent it is, the more you cut greetings and cushioning phrases and put the request and the deadline up front. Look at all three together and the right tone is usually clear.
One situation, three tones
Example 1. Polite tone: the first time you check
Use this when the promised date has just passed or is a day or two away, and you haven't followed up before. This tone leaves room for the possibility that the other person forgot.

Phrases like "how is it going" and "if I missed it" leave a way for the other person to answer without losing face. For a first check-in, this is about right, and this email cushions only up to the point where the request and deadline stay clear.
Example 2. Firm tone: the second time you check
Use this when you have already asked once, there's been no answer, and your own schedule is starting to be affected. Leave out emotion and write only facts and the deadline.

The tone becomes firm not because the wording is harsh, but because the date is specific and the choices are narrowed. For "if that's difficult, tell me today" not to sound like pressure, it needs to come with a line saying you will adjust to what they tell you.
Example 3. Brief tone: an urgent internal request
Use this when you urgently need something from someone on your team or a close colleague. Keep the greeting short and put the request and time first.

Brief doesn't mean leaving out information; it means trimming greetings and cushioning. This email still contains what, by when, and why. What it doesn't have is a lead-in like "I'm sorry, but" or a long explanation of the circumstances.
Tone is adjusted in three places
Put the three emails side by side and there aren't many devices that change the tone. One is the amount of greeting and cushioning. The polite email has "how is it going" and "I'm writing to ask", and the brief one doesn't. Another is how the deadline is written. The polite one says "it would be a big help if we could receive them by Thursday morning", and the firm one says "we need them by 11 a.m. on the 17th". The last is the exit you leave for the other person. With an exit, even a firm email doesn't read as pressure. Choosing a tone in the tool is ultimately deciding these three things at once.
Fixing a sentence with an edge
Tone problems usually come from sentences that read as cold or aggressive without meaning to. The original below is something the writer thought was firm, but the reader is likely to take as a reprimand.
Polishing example: firm, but not rude
OriginalMr. Park, as I told you before, you still haven't sent the document. If it keeps getting delayed like this, it's a problem for us too. I don't understand why it is taking so long. Please be sure to send it today.
RevisedMr. Park, we have not yet received the document I requested on the 10th. We cannot start Friday's work without it, so we need it by 5 p.m. today. If there is a difficulty on your side, please tell us what schedule is possible. We will adjust our plan accordingly.
What changed and why
"As I told you before" became a date (the 10th). It conveys the same fact while removing the tone of blame.
"It's a problem for us too" became "we cannot start Friday's work without it". Telling someone the concrete effect instead of the emotion makes it easier for them to act.
"I don't understand why it is taking so long" was deleted. A complaint in the form of a question can't be answered, and only puts the other person on the defensive.
"Be sure to send it" became a time (5 p.m.) and an exit: "if it's hard, tell us the schedule." Firmness comes from a specific deadline, and cooperation comes from the exit.

Is the tone right for how many times you have asked?
Is there a way for the other person to answer without losing face? (The firmer the email, the more it matters.)
Have words of emotion (trouble, disappointment, regret) been replaced with facts and effects?
After softening the tone, are the deadline and the request still there?
Read aloud, would it feel natural to say directly to the other person?
