거래처에 부탁하는 메일은 쓰기 전에 한 번 멈칫하게 됩니다. 너무 공손하게 쓰면 용건이 묻히고, 용건만 쓰면 무례해 보일까 걱정되기 때문입니다. 그런데 실제로는 공손함의 정도보다 "상대가 무엇을, 언제까지, 왜 해야 하는지"가 한눈에 안 보이는 데서 문제가 생기는 경우가 훨씬 많습니다. 이 글에서는 부탁의 급한 정도에 따라 메일을 세 개 쓰고, 부탁 문장을 어떻게 고치는지 보여드립니다.
쓰기 전에 요청을 한 줄로 줄여 보세요
"○○를 ○일까지 보내 주세요." 이 한 줄이 안 써지면 메일도 길어집니다. 반대로 한 줄이 나오면 그대로 제목과 첫 문단이 됩니다. 그다음에 필요한 건 두 가지입니다. 왜 그날까지 필요한지(이유), 그날이 어렵다면 어떻게 하면 되는지(선택지). 이유가 있으면 부탁이 지시처럼 들리지 않고, 선택지가 있으면 상대가 거절하기도 쉬워서 오히려 답이 빨리 옵니다.

기한 옆에 "그날까지 받으면 그다음 날 작업을 시작할 수 있다"는 이유를 붙였습니다. 이유를 알면 상대도 우선순위를 정하기 쉽습니다. 마지막 줄의 "되는 것부터 먼저"는 상대의 부담을 줄이는 선택지입니다.

이럴 때 쓰세요처음 거래하는 업체에 견적을 요청하거나, 여러 곳에서 비교 견적을 받을 때. 조건을 빠짐없이 적는 것이 핵심이라 항목형으로 씁니다.

견적 요청이 답을 늦게 받는 가장 흔한 이유는 조건이 빠져서 상대가 되묻기 때문입니다. 수량, 시기, 장소, 견적서에 담길 항목을 처음부터 적으면 왕복이 한 번 줄어듭니다. 결과를 언제 알려줄지까지 적어 두면 상대도 어느 정도 일정을 짐작할 수 있습니다.
예시 3. 촉박한 납기 협조 요청
이럴 때 쓰세요평소보다 훨씬 짧은 기간 안에 해 달라고 부탁해야 할 때. 무리한 부탁이라는 점을 먼저 인정하고, 상대가 고를 수 있는 길을 두 개 이상 줍니다.

이 메일에서 제일 신경 쓴 건 거절할 길을 열어 둔 것입니다. 세 번째 선택지(원래 일정 유지)가 있으면 상대는 부담 없이 답할 수 있습니다. "오늘 오후 5시까지 가능 여부만"이라고 답의 범위를 좁힌 것도 상대의 일을 줄여 주는 방법입니다.
부탁 문장은 이렇게 고쳤습니다
요청 메일의 문제는 대개 공손함이 모자라서가 아니라 정보가 모자라서 생깁니다. 급한 마음에 쓴 원문이 어떻게 달라지는지 보겠습니다.

무엇이 왜 바뀌었나
"주셔야 할 것 같아요"를 "받을 수 있을지 여쭙니다"로 바꿨습니다. 같은 요청이지만 지시처럼 들리던 어감이 질문이 됩니다.
"저희가 급해서요" 대신 급한 이유(모레 오전 보고)를 적었습니다. 이유가 구체적이면 상대가 얼마나 무리해야 하는지 스스로 판단합니다.
"어려우시면 말씀해 주세요"는 막연해서 "가능한 시점을 알려 주세요. 그에 맞춰 조정하겠습니다"로 바꿨습니다. 거절이 아니라 협상으로 이어지게 하는 문장입니다.
요청 메일의 구성
세 예시는 같은 흐름입니다. 제목에 요청의 종류와 기한을 넣고, 첫 문단에서 요청을 한 줄로 말하고, 필요하면 항목을 목록으로 나누고, 기한과 이유를 붙이고, 상대가 고를 수 있는 길을 하나 열어 두고, 감사로 마칩니다. 각 자리에서 가져다 쓸 만한 문장은 아래와 같습니다.
Writing a request to a business partner makes you hesitate. If you are too polite, the point gets buried, and if you stick to the point, you worry it will sound rude. In practice, though, problems come far more often from not making it obvious what the other person should do, by when, and why, than from how polite you are. In this article I write three emails based on how urgent the request is, and show how to rework the sentence that makes the ask.
Before writing, shrink the request to one line
"Please send me ○○ by ○." If you can't write that one line, the email will run long. If you can, it becomes your subject line and your first paragraph as it is. After that, you need two more things: why you need it by that date (the reason), and what to do if that date is hard (an alternative). A reason keeps the ask from sounding like an order, and an alternative makes it easy to say no, which often gets you an answer sooner.
Examples by size of the request
Example 1. A document request with time to spare
Use this when there is about a week before the deadline and you need materials the other side probably already has. This one goes to a contact at a partner company.

Next to the deadline I added the reason: "if we get it by then, we can start the next day." When people know the reason, it is easier for them to set priorities. "Send what you have first" at the end is an alternative that lightens their load.
Example 2. A quote request
Use this when you ask a new vendor for a quote, or collect comparison quotes from several companies. The key is to list every condition, so it is written in list form.

The most common reason a quote request gets a slow reply is that a condition is missing and the other side has to ask back. If you write the quantity, timing, location, and what the quote should contain from the start, you save one round trip. Telling them when you will give your decision also lets them guess the timeline.
Example 3. Asking for a rush deadline
Use this when you have to ask for something in a much shorter time than usual. Admit up front that it is a big ask, and give the other person at least two ways to answer.

Depending on what is possible, please let me know which of the following works best for you.
- If everything can be delivered on the 11th, we proceed as asked
- If not everything, but part of the order is possible, we receive the two key items on the 11th and the rest on the 16th
- If neither is possible, we keep the original schedule (the 16th)
If you can just tell me whether it is possible by 5 p.m. today, I will adjust our schedule right away. I'm sorry to ask at such short notice.

What I paid most attention to in this email was leaving a way to say no. With the third option (keep the original date), the other person can answer without feeling cornered. Narrowing the reply to "just whether it is possible by 5 p.m. today" is also a way to reduce their work.
How I reworked the ask
The problem with request emails usually isn't too little politeness but too little information. Here is how an original written in a hurry changes.
Polishing example: urgently requesting a design draft
OriginalHi. About the design draft we talked about yesterday, I think we need it by tomorrow. We're kind of in a rush. Please send it as soon as you can. Let me know if that's hard.
RevisedHello. I'm writing about the design draft we discussed yesterday. Our internal report is the morning after tomorrow, so may I ask whether we could receive a first draft by 3 p.m. tomorrow? If a finished version is difficult, a draft with only the layout is fine. If the schedule is hard for you, please tell me when it would be possible, and I will adjust our reporting schedule to match.
What changed and why
"I think we need it by tomorrow" became "may I ask whether we could receive it". It is the same request, but the order-like tone becomes a question.
Instead of "we're in a rush", I gave the reason: the internal report the morning after tomorrow. When the reason is specific, the other person can judge how much effort it takes.
"As soon as you can" became "3 p.m. tomorrow". To plan, they need a time.
"Let me know if that's hard" is vague, so it became "tell me when it would be possible, and I'll adjust". It leads to a negotiation instead of a refusal.
Structure of a request email
The three examples follow the same flow. Put the type of request and the deadline in the subject line, state the request in one line in the first paragraph, break it into a list if needed, add the deadline and the reason, leave one way for the other person to choose, and close with thanks. Here are sentences you can use in each spot.
Opening: "I'm writing to request ○○." / "I would like to ask whether ○○ is possible."
Deadline and reason: "If we receive it by ○, we can proceed with ○○."
Alternative: "If it is difficult, it is fine to send only ○○ first."
Narrowing the reply: "It is enough to tell me whether it is possible by ○."
Closing: "Thank you for your consideration."

Put the point first and end with "Thank you for taking the time."
Check before sending
Can someone tell the type of request and the deadline from the subject alone?
Does the first paragraph state in one line what you are asking for?
Is the deadline written as a date and time, with a reason?
Is there a way for the other person to do part of it or choose another option?
If the request needs an attachment, did you actually attach it?
