사과 메일은 길이를 정하기가 제일 애매합니다. 첨부 하나 빠뜨렸다고 반 페이지를 쓰면 받는 사람이 부담스럽고, 고객한테 실제로 피해가 갔는데 세 줄로 끝내면 성의가 없어 보입니다. 그래서 실수 크기별로 메일을 세 개 써 놓았습니다. 이름과 날짜만 바꿔서 쓰시면 되고, 아래쪽에는 변명처럼 들리는 문장을 고치는 과정과 가급적 안 쓰는 게 나은 표현을 모아 두었습니다.
실수가 얼마나 큰지 먼저 보세요
기준은 하나, 상대가 손해를 봤느냐입니다. 손해가 없으면 짧게 인정하고 고친 파일을 보내는 걸로 끝납니다. 상대가 내 결과물을 기다리면서 다른 일을 잡아 뒀다면 새 일정을 날짜와 시각으로 알려줘야 합니다. 돈이나 평판에 실제 피해가 갔다면 무슨 일이 있었는지, 지금 뭘 하고 있는지, 다시 안 생기게 뭘 바꿨는지까지 한 통에 담아야 합니다.

일부러 짧게 썼습니다. 별일 아닌 데 사과를 길게 하면 받는 사람이 "그렇게 큰 문제였나" 싶어 오히려 신경이 쓰입니다. 제목에 [재송부]를 붙여 두면 이전 파일을 대신하는 메일이라는 게 열어 보기 전에 보입니다.

상사가 이 메일에서 제일 알고 싶은 건 이유가 아니라 "그래서 언제 받느냐"입니다. 그래서 제목에 원래 일정과 바뀐 일정을 같이 넣었고, 이유는 한 문장으로 끝냈습니다. 수요일에 초안을 먼저 주겠다는 문장이 들어가면 일정이 밀려도 일이 멈춘 느낌이 덜합니다.

피해가 있었던 메일에서는 사과의 범위가 분명해야 합니다. 무엇이 틀렸는지, 왜 못 걸렀는지, 지금 뭘 하는지, 앞으로 뭐가 달라지는지가 이 순서로 들어 있습니다. 보상처럼 내가 정할 수 없는 부분은 "확인 후 안내드리겠습니다"로 끝내지 말고 언제까지 알려주는지를 붙이세요. 기한이 없으면 상대가 다시 연락해서 물어야 합니다.
변명처럼 읽히는 원문, 이렇게 고쳤습니다
실무에서 자주 보이는 건 사과보다 설명이 더 긴 메일입니다. 쓴 사람은 사정을 알리려는 건데 받는 사람에게는 변명으로 들립니다. 아래는 그런 원문과, 제가 직접 고쳐 쓴 버전입니다.

무엇이 왜 바뀌었나
"죄송합니다ㅠㅠ"로 시작하면 뭘 사과하는지 보이기 전에 감정부터 읽힙니다. 첫 문장에서 못 한 일을 밝히고, 사과는 끝에 한 번만 뒀습니다.
"일이 많아서"는 뺐습니다. 바쁜 건 상대가 해결해 줄 수 없고, 또 그럴 수 있겠다는 인상만 남깁니다. 원인은 내가 고칠 수 있는 관리 방식으로 한 줄만 적었습니다.
다른 팀 탓도 지웠습니다. 사실이어도 사과 메일 안에서는 책임을 넘기는 말로 읽힙니다. 자료 지연이 일정에 영향을 줬다면 사과와 따로 이야기하는 게 낫습니다.
"최대한 빨리"를 "오늘 오후 3시"로 바꿨습니다. 받는 사람이 다음 일을 잡을 수 있는 시각이어야 사과가 값을 합니다. "잘하겠습니다"도 확인할 수 있는 행동(알림 설정)으로 바꿨습니다.
뼈대는 늘 비슷합니다
세 메일 모두 순서가 같습니다. 뭘 잘못했는지, 원인 한 줄, 지금 하는 일과 새 일정, 앞으로 바꿀 것 하나, 마지막에 사과 한 번. 실수가 작으면 앞의 두세 개만 남기면 됩니다. 칸마다 쓸 만한 문장은 이렇습니다.
인정: "○○를 드리기로 한 기한을 지키지 못했습니다." / "제가 ○○를 확인하지 않고 보냈습니다."
The hardest thing about an apology email is deciding how long it should be. If you write half a page over a forgotten attachment, the reader feels awkward. If a customer was actually harmed and you wrap it up in three lines, it looks like you don't care. So I wrote three emails, one for each size of mistake. Swap in your own names and dates and they are ready to use. Further down, you'll find how to fix sentences that sound like excuses, and expressions that are better left out.
First, judge how big the mistake is
There is one test: did the other person lose anything? If not, admit it briefly and send the corrected file. If they were waiting on your work and had planned something around it, give the new schedule as a date and a time. If there was real damage to money or reputation, one email has to cover what happened, what you are doing now, and what you changed so it won't happen again.
Apology email examples by size
Example 1. A minor slip such as a missing attachment or a typo
Use this when you forgot an attachment or got a number wrong, but the other person's schedule is not affected. This one goes to a business partner.

It is short on purpose. If you apologize at length over something minor, the reader starts to wonder whether it was a bigger problem than it was. Putting [Resend] in the subject line tells them, before they even open it, that this email replaces the earlier file.
Example 2. When you can't meet a promised date
Use this when the other person is going to take your work and use it for the next step. Send it before the deadline passes, together with the new schedule. This one goes to your boss.

What your boss most wants to know from this email is not the reason but "so when do I get it?" That is why the subject line carries both the original date and the new one, and the reason is kept to a single sentence. A line saying you will hand over a draft on Wednesday makes it feel like the work hasn't stopped, even though the date has slipped.
Example 3. A mistake that actually harmed a customer
Use this when the client suffered a financial or operational loss. Put the apology, what you are doing now, how you will prevent a repeat, and a contact number into one email. This one goes to a client company.

When harm was done, the scope of the apology has to be clear. This example covers, in order, what was wrong, why it wasn't caught, what you are doing now, and what will be different from here on. For things you can't decide yourself, such as compensation, don't stop at "we will let you know after checking". Say by when. Without a deadline, the other person has to write back to ask.
An original that reads like an excuse, and how I fixed it
The most common problem in practice is an apology where the explanation is longer than the apology. The writer is just trying to share the circumstances, but the reader hears an excuse. Below is such an original, next to the version I rewrote myself.
Polishing example: a missed report deadline
OriginalSorry boss :( I've been so swamped lately that I totally forgot the report deadline. The other team also gave me their data late, so I couldn't really help it. I'll do better from now on. I'll get it to you ASAP!
RevisedI was supposed to give you the monthly report by yesterday and I did not submit it. The cause is that I had not moved the deadline into my own schedule. I will upload the final version by 3 p.m. today. From now on I will set a reminder the day before each deadline. I'm sorry I missed the date.
What changed and why
If you open with "Sorry :(", the reader gets the feeling before they know what you are sorry for. The revision states what was missed in the first sentence and puts the apology once, at the end.
"I've been swamped" is gone. The reader can't fix your workload, and all it leaves is the impression that it could happen again. The cause is stated in one line, as a way of managing things that you can change.
Blaming the other team is deleted. Even if true, in an apology it reads as passing the blame. If their delay really affected the schedule, talk about it separately from the apology.
"ASAP" became "3 p.m. today." An apology only counts when the reader can plan the next task around the time you give. "I'll do better" also became an action you can check later: setting a reminder.
The skeleton is always the same
All three emails follow the same order: what went wrong, the cause in one line, what you are doing now and the new schedule, one thing you will change, and a single apology at the end. If the mistake is small, keep only the first two or three parts. Here are sentences you can use for each part.
Admit it: "I did not meet the deadline for delivering ○○." / "I sent ○○ without checking it."
Cause: "The cause is ○○." Don't go past two sentences.
Action: "I will ○○ by ○ o'clock on ○." / "I'll send ○○ first and finish ○○ by ○."
Prevention: "From now on I will add a ○○ step before sending."
Closing: "I apologize for the inconvenience."

The "if" makes it sound like you don't admit you did anything wrong.
"I'm sorry for the inconvenience."
"I'll make sure this never happens again"
There is no concrete change, so it sounds hollow.
"I will check the attachment list before sending."
"It's all my fault"
The scope of responsibility gets blurry, and the reader ends up having to comfort you.
"This error came from my failure to check."
Check before sending
It is clear in the first two sentences what you are apologizing for.
The explanation of the cause is within two sentences, with no blame mixed in.
The new schedule is a date and time, not "soon" or "promptly".
"Sorry" appears at the start and the end, two times at most.
If the other person has something to do, it says what.
No emoticons, exclamation marks, or things like ":(" are left.
