일정이 밀릴 것 같다는 걸 알았을 때 가장 어려운 건 메일 쓰는 일이 아니라 언제 보낼지입니다. 상대가 그 일정 위에 다른 계획을 올려 두고 있기 때문에, 늦게 알릴수록 같은 내용이 더 큰 문제가 됩니다. 이 글에서는 누구에게 알리느냐에 따라 달라지는 연기 요청 메일을 세 개 보여드립니다. 사과 자체를 다룬 글은 따로 있으니, 여기서는 "연기를 어떻게 요청하고 새 일정을 어떻게 확정하는지"에 집중합니다.
알게 된 날 알리는 것이 가장 쌉니다
연기 요청의 타이밍은 간단합니다. 연기가 필요하다는 걸 알게 된 날, 새 일정이 확정되지 않았더라도 먼저 알립니다. "정확한 날짜가 나오면 알리겠다"고 미루는 동안 상대는 원래 일정이 지켜진다고 믿고 움직입니다. 날짜가 아직 정해지지 않았다면 "○일까지 새 일정을 확정해서 다시 알리겠다"로 다음 연락 시점만이라도 약속하세요. 아래 세 메일은 모두 그렇게 씁니다.

이유는 한 단락 안에서 끝냈고, 분량의 대부분은 "늦어지는 일주일 동안 상대가 무엇을 받는가"에 썼습니다. 일부라도 먼저 보여 주는 계획이 있으면 연기가 "아무것도 안 오는 기간"이 되지 않습니다.

우리 쪽 잘못이 원인일 때는 그것을 한 문장으로 인정하고 상대의 선택지를 열어 줍니다. "인쇄소 일정은 저희가 조정하겠습니다"처럼 연장으로 생기는 후속 부담을 내가 가져가겠다는 문장이 있으면 상대가 훨씬 편하게 답할 수 있습니다.

연기 요청 문장은 이렇게 고쳤습니다
연기 요청이 어색해지는 이유는 대개 "죄송합니다"가 앞에 길게 나오고, 정작 새 일정은 마지막까지 안 나오기 때문입니다.

무엇이 왜 바뀌었나
"정말 죄송합니다"로 시작하던 것을 "늦춰 주실 수 있을지 요청드립니다"로 바꿨습니다. 무엇을 부탁하는 메일인지 첫 문장에서 알 수 있어야 합니다.
"이슈가 좀 생겨서"를 "외부 시스템 연동 오류"로 구체화했습니다. 막연한 사유는 상대에게 불안만 줍니다.
"조금 늦어질 것 같다", "최대한 빨리"는 "10월 25일"로 바꿨습니다. 새 일정이 날짜로 있어야 상대도 자기 일정을 고칠 수 있습니다.
"양해 부탁드립니다"는 "16일까지 가능 여부를 알려 달라"는 구체적 요청으로 바꿨습니다. 양해를 구하는 말만으로는 상대가 할 일이 없습니다.
연기 요청 메일의 순서
순서는 대체로 이렇습니다. 요청(무엇을 언제에서 언제로), 이유(한두 문장), 그동안 상대가 받을 것, 상대가 해야 할 일과 기한, 사과. 사과가 맨 마지막에 가는 이유는 앞에서 정보를 충분히 줘야 사과도 구체적으로 들리기 때문입니다. 자주 쓰는 문장을 모았습니다.
When you realize a schedule is going to slip, the hardest part isn't writing the email but deciding when to send it. The other side has put other plans on top of that schedule, so the later you tell them, the bigger the same news becomes. In this article I show three delay request emails that change depending on who you are telling. There is a separate article on apologies themselves, so here I focus on how to ask for the delay and fix the new schedule.
Telling them the day you find out is the cheapest
The timing of a delay request is simple. On the day you learn a delay is needed, tell them first, even if the new schedule isn't settled. While you put it off with "I'll let you know once I have an exact date," the other side keeps acting as if the original schedule will hold. If the date isn't decided yet, at least promise when you will contact them next: "I will confirm a new schedule by ○ and tell you again." All three emails below are written that way.
Delay request examples by recipient
Example 1. Asking a client to extend a deadline
Use this when it is hard to keep the promised delivery date because of your side's circumstances. Keep the reason short and be concrete about the new schedule and how the client can check progress in between.

- October 18: share all screens except the payment integration on a test address
- October 22: share interim results of the payment integration check
- October 25: final delivery
I'm sorry we could not keep our original promise. If you can let me know by Wednesday, October 16, whether the change is possible, I will confirm the schedule accordingly.

The reason is kept to one paragraph, and most of the length goes to what the client receives during the extra week. If there is a plan to show at least part of it early, the delay doesn't become a period when nothing arrives.
Example 2. Asking a vendor for more time
Use this when you handed over materials late and shortened the vendor's working time, or conversely when you have to ask them to extend their deadline because of your circumstances.

When your own side caused it, admit that in one sentence and open options for the other person. A line like "we will adjust the printer's schedule" shows you are taking on the follow-up burden of the extension, which makes it much easier for them to answer.
Example 3. Telling an internal team about a schedule change
Use this when you tell teammates or related departments on the same project that the schedule has changed. What matters is who has to change what, so use a list.

If this change overlaps with other schedules for you, please tell me by Friday, October 11. We'll adjust it together.

In an internal notice, "so what does each of us have to change?" is more urgent than an apology. If you split it by team, readers only look for their own part. I left out the apology, but kept the inquiry deadline and willingness to adjust for people whose schedules overlap.
How I reworked a delay request sentence
Delay requests turn awkward usually because "I'm sorry" goes on at length at the front and the new schedule doesn't appear until the very end.
Polishing example: a delay request with no new date
OriginalHi boss. I'm really sorry. Some issues came up with this project, and the schedule might slip a bit. I'll finish as soon as I can. Again, I apologize and ask for your understanding.
RevisedHello. I would like to ask whether the final delivery of the project could move from October 18 to October 25. Resolving an integration error with an external system needs more time. On the 18th I will first share everything except the integration part, and on the 25th I will deliver the final version. If you let me know by the 16th whether that works, I will confirm accordingly.
What changed and why
Opening with "I'm really sorry" became "I would like to ask whether the delivery could move." The first sentence should tell the reader what is being asked.
"Some issues came up" became "an integration error with an external system." A vague reason only worries the reader.
"Slip a bit" and "as soon as I can" became "October 25". Only when the new schedule is a date can the other side fix their own plan.
"Ask for your understanding" became a concrete request: "let me know by the 16th." Just asking for understanding leaves the other person nothing to do.
The order of a delay request email
The order is generally this: the request (what, from when to when), the reason (one or two sentences), what the other person will receive in the meantime, what they need to do and by when, and then the apology. The apology goes last because it sounds specific only after the information has been given. Here are sentences that come up often.
Request: "I would like to ask whether ○○ could move from ○ to ○."
Reason: "Because of ○○, the ○○ work needs more time."
In the meantime: "On ○ I will first share ○○."
What they need to do: "If you let me know by ○ whether it works, I will confirm the schedule."
When it is your side's fault: "This delay is on our side."

Write the reason in one line and then what you will do next.

They have no time to respond, and the same news becomes a much bigger problem.
Tell them the day you know; if the new date is open, promise when you'll contact them next.
Check before sending
Do the first two sentences say what you want changed and how?
Is the new schedule a date, and if it isn't confirmed, is there a next-contact time?
Is there something the other side receives during the delay, such as an interim share?
Is what they need to do, and by when, written down?
If it was your side's fault, did you admit it in one sentence?
