휴가나 출장으로 자리를 비울 때 쓰는 안내 메일은 거의 모든 직장인이 한 번쯤 씁니다. 그런데 "휴가라서 자리에 없습니다. 복귀 후 답변드리겠습니다"로 끝나는 메일이 의외로 많습니다. 이 한 줄에는 받는 사람이 정말 알고 싶은 것, 즉 언제 돌아오는지, 급하면 누구에게 연락해야 하는지가 빠져 있습니다. 이 글에서는 휴가 전 사전 공지, 자동 응답문, 복귀 후 인사 세 가지를 예시로 보여드리고, 정보가 빠진 안내를 어떻게 채우는지 정리합니다.
부재 안내에서 상대가 알고 싶은 것
세 가지입니다. 언제부터 언제까지 자리를 비우는지(복귀일), 그동안 급한 일은 누가 처리하는지(대행 담당자와 연락처), 급하지 않은 문의는 언제쯤 답을 받을 수 있는지. 이 세 가지만 있으면 상대는 기다릴지, 다른 사람에게 연락할지 바로 정할 수 있습니다. 사유(휴가인지 출장인지)는 굳이 쓰지 않아도 됩니다. 자세히 쓰면 오히려 사적인 정보가 노출되기도 합니다.

자동 응답문에는 "복귀 후 확인해 11월 5일까지 답변"처럼 답변이 오는 시점을 적는 것이 중요합니다. 시점이 없으면 상대는 "언제쯤 답이 오는지" 몰라 다시 메일을 보내고, 복귀 후 메일함이 두 배가 됩니다. 영어 자동 응답이 필요하면 같은 구조로 쓰면 됩니다.

복귀 메일의 사과는 "답변이 늦어 죄송합니다" 한 줄이면 충분합니다. 이 메일이 가치를 가지려면 "무엇이 어디까지 진행되었고, 남은 일이 언제까지 끝나는지"가 바로 나와야 합니다. 대행자가 이미 한 일을 짚어 주면 두 사람 모두 신뢰를 받습니다.

무엇이 왜 바뀌었나
"이번 주에 휴가라서"를 "10월 28일(월)부터 11월 1일(금)까지"로 바꿨습니다. "이번 주"는 읽는 시점에 따라 달라지고, 정확한 날짜만이 상대가 기다릴지 판단하게 합니다.
"복귀 후에 확인하고 답변드리겠습니다"를 "복귀는 11월 4일, 5일까지 답변"으로 구체화했습니다. 언제 답이 오는지가 보이면 재촉 메일이 줄어듭니다.
"급한 일이 있으시면 연락 주세요"는 연락할 곳이 없어서 휴가 중인 본인에게 전화하라는 말처럼 읽힙니다. 대행 담당자의 이름과 연락처로 바꿨습니다.
"불편을 드려 죄송합니다"는 지웠습니다. 휴가는 잘못이 아니므로 사과할 일이 아닙니다. 일을 이어 줄 장치가 있으면 안내는 충분합니다.
부재 안내 메일의 틀
세 메일은 기간과 복귀일, 그동안 일을 누가 하는지, 답변 시점, 급한 일의 연락처 순서입니다. 사전 공지에는 인계한 일을, 자동 응답에는 답변 시점을, 복귀 메일에는 처리 현황을 더하면 됩니다. 그대로 쓸 수 있는 문장은 다음과 같습니다.
기간: "○월 ○일(○)부터 ○월 ○일(○)까지 자리를 비우며, ○월 ○일(○)에 복귀합니다."
Almost every office worker writes an out-of-office notice at some point when they leave for vacation or a business trip. Yet there are surprisingly many that end with "I am on vacation and not at my desk. I will reply when I return." That one line is missing what the reader really wants to know: when you will be back and whom to contact if it's urgent. In this article I show three examples, an advance notice before leave, auto-reply wording, and a greeting on return, and sum up how to fill in a notice that lacks information.
What the other person wants to know in an out-of-office notice
Three things. From when to when you will be away (the return date), who handles urgent matters in the meantime (a substitute contact and their details), and when they can expect a reply to non-urgent inquiries. With these three, the reader can decide right away whether to wait or contact someone else. The reason (vacation or a trip) doesn't need to be written. Writing it in detail can even expose private information.
Out-of-office email examples by situation
Example 1. An advance notice to partners before going on leave
Use this when about a week before leave, to partners or clients with work in progress. If any matter has a deadline during that period, sort out how it will be handled in advance.

It lists the period and return date, the work that will go on in the meantime, and who handles it. If there is also a way the work is handed over (sorted by the 25th, a substitute carries on), the reader feels reassured that the work won't stop while I am away. The last sentence also tells them the deadline for requests I can handle before my leave.

Use this when you enter wording into your email program's out-of-office auto-reply. It has to be short, so include only the return date, the substitute, and when to expect a reply.

In an auto-reply, it is important to write when the reply will come, as in "after I return, by November 5." Without a time, the sender doesn't know when to expect an answer and sends another email, and your inbox doubles when you return. If you need an auto-reply in English, you can use the same structure.
Example 3. A greeting after you return
Use this when you come back from leave and answer inquiries that piled up. Keep the apology for the late reply short and the handling schedule for the request specific.

One line, "I'm sorry for the late reply," is enough for the apology in a return email. For this email to have value, "what has progressed and how far, and by when the rest will be finished" must come right away. Pointing out what the substitute has already done earns trust for both of you.
How I fixed a notice that was missing information
The original below has no wrong statements but no information at all that the reader needs.

What changed and why
"On vacation this week" became "from Monday, October 28 to Friday, November 1." "This week" changes with when it is read, and only exact dates let the reader decide whether to wait.
"I'll check my email and reply when I'm back" became "I return on November 4, and I will reply by the 5th." If they can see when an answer will come, fewer reminder emails arrive.
"Please contact me if it's urgent" has no contact, and reads as asking them to call you while you're on leave. I replaced it with the substitute's name and contact.
"Sorry for the inconvenience" was removed. Taking leave is not wrong, so there is nothing to apologize for. If there is a mechanism to carry the work, the notice is enough.
The template of an out-of-office email
The three emails run in the order of period and return date, who does the work meanwhile, when you will reply, and an urgent contact. Add the handed-over work to the advance notice, the reply time to the auto-reply, and the status of handling to the return email. Here are sentences you can use as they are.
Period: "I will be away from ○ (○) to ○ (○), and I will return on ○ (○)."
Work in progress: "I will sort out ○○ by ○, and ○○○ will handle it while I am on leave."
Reply time: "I will check my email after I return and reply by ○."
