미팅 일정을 잡는 메일은 짧은 메일인데도 왕복이 잘 늘어납니다. "언제 시간 되세요?"라고 물으면 상대가 후보를 하나 내고, 내가 안 되면 또 하나를 내고, 그렇게 서너 번 오가면 일주일이 지나 있습니다. 이런 왕복을 줄이는 방법은 처음 메일에서 후보를 구체적으로 주는 것입니다. 이 글에서는 첫 미팅 요청, 상대가 제시한 시간이 어려울 때의 답장, 이미 잡은 일정의 변경과 취소, 세 가지 메일을 예시로 보여드립니다.
일정 메일을 한 번에 끝내는 방법
첫 메일에 들어가야 할 건 다섯 가지입니다. 무엇에 관한 미팅인지(안건), 얼마나 걸리는지(소요 시간), 어디서 하는지(장소나 화상), 후보 시간 두세 개(요일과 시각까지), 그 중 어느 것이든 안 될 때 어떻게 하면 되는지. 이 다섯 가지가 있으면 상대는 후보 중 하나를 고르거나 다른 시간을 제안하는 한 번의 답장으로 끝낼 수 있습니다.

후보를 "시간대 범위"로 주면 상대가 정확한 시각을 고를 수 있어 선택의 폭이 넓어집니다. 마지막 문장은 후보 전부가 어려울 때를 대비한 것으로, 이 한 줄이 있으면 "다 안 되는데 어떡하지" 하는 상대의 부담이 줄어듭니다.

변경 메일은 빨리 보낼수록 좋아서 사유를 길게 쓰지 않고 새 후보부터 줍니다. 이유는 한 문장이면 충분합니다. 사과는 "이미 시간을 내 주셨는데"처럼 상대의 노력을 짚어 구체적으로 합니다.
일정을 묻는 문장은 이렇게 고쳤습니다
가장 흔한 문제는 열린 질문으로 시작하는 것입니다. 상대가 답하기 쉽지 않은 질문일수록 답이 늦어집니다.

무엇이 왜 바뀌었나
"한번 뵙고 이야기 나누고 싶은데"를 "신제품 포장 협업 건으로 30분 정도 미팅"으로 구체화했습니다. 안건과 길이를 알면 상대가 시간을 내도 되는지 판단할 수 있습니다.
"언제 시간 되세요?"를 후보 세 개로 바꿨습니다. 열린 질문은 상대가 후보를 처음부터 만들어야 해서 가장 시간이 오래 걸리는 형태입니다.
"편하신 때 알려 주시면 맞추겠습니다"는 후보가 모두 어려울 때를 위한 문장으로 위치를 옮겼습니다. 후보 뒤에 두면 출구가 되고, 앞에 두면 후보 없는 질문이 됩니다.
일정 메일의 틀
세 메일은 모두 요청(안건), 후보나 새 시간, 소요 시간과 방식, 출구, 감사나 사과 순입니다. 후보는 요일과 시각을 같이 적고, 범위로 주면 선택이 쉽습니다. 자주 쓰는 문장을 모았습니다.
An email for scheduling a meeting is short, yet the back-and-forth tends to grow. If you ask "when are you free?", the other person offers one candidate; if that doesn't work for me, I offer another; after three or four rounds of that, a week has gone by. The way to cut this is to give concrete candidates in the first email. In this article I show three emails as examples: a first meeting request, a reply when the proposed time doesn't work, and changing or canceling a set meeting.
How to finish a scheduling email in one go
Five things belong in the first email: what the meeting is about (the agenda), how long it takes (the duration), where it will be held (the place or video), two or three candidate times (down to the weekday and hour), and what to do if none of them works. With these five, the other person can finish in one reply, either picking one of the candidates or suggesting another time.
Scheduling email examples by situation
Example 1. Requesting a first meeting
Use this when you request a first meeting with a partner or client. Write the agenda, duration, and candidate times, and finish it in one go.

If you give candidates as ranges of time, the other person can pick an exact time, which widens the choice. The last sentence is for the case where every candidate is difficult, and having that line reduces the other person's burden of thinking "none of these works, what do I do."
Example 2. When the time the other person proposed doesn't work
Use this when the other person proposed one time and it doesn't work for you. Don't write only that it is not possible; offer times that are possible right away.

It doesn't end at "that doesn't work"; it gives two possible times with it. The other person doesn't have to propose again, so one round trip is saved. By writing that a calendar invitation follows once confirmed, it also announces the next step.
Example 3. Changing or canceling a meeting already set
Use this when you have to move or cancel a confirmed meeting because of your own circumstances. Send it as early as possible, with new candidates, in a brief apology.

The sooner a rescheduling email goes out the better, so it doesn't explain the reason at length and offers new candidates first. One sentence is enough for the reason. The apology is made specific by pointing at the other person's effort: "when you had already set the time aside."

The most common problem is starting with an open question. The harder the question is to answer, the later the reply comes.

What changed and why
"I'd like to meet and talk" became "a meeting of about 30 minutes about the new product packaging collaboration." If the other person knows the agenda and length, they can judge whether to make time.
"When are you free?" became three candidates. An open question makes the other person create the candidates from scratch, which is the slowest form.
"Let me know whenever suits you" moved to a sentence for when all candidates are difficult. After the candidates it works as an exit; before them, it becomes a question with no candidates.
The template of a scheduling email
All three emails run in the order of request (agenda), candidates or new times, duration and format, an exit, and thanks or an apology. Write candidates with the weekday and time together, and giving them as ranges makes choosing easier. Here are sentences that come up often.
Request: "I would like to request a meeting of about 30 minutes to discuss ○○."
Candidates: "Monday, October 21, between 2 and 4 p.m. / Tuesday the 22nd, morning"
Format: "We will proceed by visit or video, whichever suits you."
Exit: "If none is possible, please tell me which days and times work for you."
Change: "I'm sorry, but I need to move our meeting on ○, so I'm writing right away."
