처음 보내는 업무 메일은 제목 한 줄과 첫 문장에서 승패가 갈립니다. 받는 사람은 모르는 이름의 메일을 열어 볼지 말지를 제목으로 정하고, 열고 나서는 첫 두세 줄로 이 사람이 누구이며 왜 연락했는지를 가늠합니다. 신입이 자주 하는 실수는 이름과 소속을 너무 늦게 말하거나, 반대로 자기소개만 길게 쓰고 용건이 나오지 않는 것입니다. 이 글에서는 상황이 다른 세 개의 첫 메일을 보여드리고, 제목과 인사말에서 자주 보이는 실수를 고쳐 봅니다.
첫 메일에서 받는 사람이 확인하는 세 가지
누구인가(소속과 이름), 왜 나에게 연락했는가(용건과 연결 고리), 내가 뭘 하면 되는가. 이 세 가지가 첫 문단에서 풀리면 읽힙니다. 제목은 그중 "왜"와 "무엇을"을 압축한 한 줄이어야 합니다. "안녕하세요"나 "문의드립니다"처럼 아무 정보가 없는 제목은 다른 메일에 묻힙니다.

사내 메일이라 격식은 한 단계 낮췄지만 "누구인지"와 "무엇을 해 보고 막혔는지"는 그대로 적었습니다. 가이드 문서를 읽었다는 한 줄이 있으면 받는 사람은 같은 내용을 되풀이하지 않아도 됩니다. 이런 질문 메일을 받는 쪽은 신입이 준비를 했는지를 가장 먼저 봅니다.

소개해 준 사람을 제목에 넣으면 상대가 스팸이 아니라는 걸 바로 알 수 있습니다. 용건 앞에 연결 고리를 두고, 상대에게 요구하는 건 "짧은 통화나 미팅" 정도로 낮췄습니다. 처음 연락에서 큰 부탁은 부담을 줍니다.
제목과 인사말을 이렇게 고쳤습니다
신입이 가장 많이 쓰는 제목은 "안녕하세요", "문의드립니다", "확인 부탁드립니다"입니다. 모두 정보가 없다는 점에서 같습니다.

무엇이 왜 바뀌었나
제목을 "안녕하세요"에서 "[자료 요청] 3분기 매출 현황 자료 (영업기획팀 OOO)"로 바꿨습니다. 용건과 소속, 이름이 모두 제목에 있습니다.
"많이 떨리네요ㅎㅎ", "신입이고요"는 뺐습니다. 신입이라는 점은 상대가 알 필요가 없고, 감정 표현은 용건 앞에서 시간을 씁니다.
"다름이 아니라 혹시 시간 되실 때"를 "3분기 보고서를 준비하는 중인데"로 바꿨습니다. 왜 자료가 필요한지 짧게 밝히면 상대가 우선순위를 판단할 수 있습니다.
"자료 좀"을 "지역별 매출 현황 자료"와 "10월 14일까지"로 구체화했습니다. 무엇을 언제까지 보내야 하는지 알려야 답이 한 번에 옵니다.
첫 메일의 틀
세 예시는 모두 같은 틀입니다. 제목(무엇+누구), 인사와 소속·이름, 연락한 이유(연결 고리), 용건 한 줄, 필요한 정보나 기한, 서명. 자기소개는 소속과 이름 한 줄로 충분하고 길게 쓸수록 용건이 묻힙니다. 그대로 가져다 쓸 수 있는 문장은 다음과 같습니다.
With a first work email, success or failure is decided by one line of subject and the first sentence. The recipient decides from the subject whether to open an email from an unfamiliar name, and after opening it, they use the first two or three lines to work out who this is and why they got in touch. The most common beginner mistakes are saying their name and affiliation too late, or the opposite: writing a long self-introduction and never getting to the point. In this article I show three first emails in different situations and fix common mistakes in subject lines and greetings.
The three things a reader checks in a first email
Who you are (affiliation and name), why you contacted them (the point and the connection), and what they need to do. If those three are resolved in the first paragraph, it gets read. The subject line must compress the "why" and "what" into one line. A subject with no information, such as "Hello" or "Inquiry," gets buried among other emails.
First work email examples by situation
Example 1. Inquiring to a business partner you are contacting for the first time
Use this when you are inquiring for the first time to a company you found through its website or brochure. Briefly write who you are and what you want to know.

The subject line contains the type of inquiry (bulk purchase, quote), where I work, and my name, so the reader knows who it is before opening it. I added contact details in the signature so the other person can use them right away if they prefer to answer by phone.

Use this when you ask a work question to someone on another team for the first time since joining. If you say who you are, what it is about, and what you have already tried, it is easy for them to answer.

I have read the guide document (page 3 of the travel expense manual). That page has no explanation for overseas receipts, so I'm asking.
I'd appreciate it if you could let me know briefly whenever it suits you.

Because it's an internal email, I lowered the formality by one step, but kept "who I am" and "what I tried before getting stuck." A single line saying I read the guide document means the reader doesn't have to repeat the same thing. The person receiving this kind of question email first looks at whether the new hire did their homework.
Example 3. Contacting someone you were introduced to for the first time
Use this when you are getting in touch on someone's introduction. The key is to write the name of the person who introduced you first in the opening paragraph.

Putting the introducer in the subject line lets the reader see right away that it isn't spam. The connection comes before the point, and what I ask of them is kept to as little as "a short call or meeting." A big request in a first contact is a burden.
How I fixed the subject line and greeting
The subjects that new employees use most are "Hello," "Inquiry," and "Please check." They are all the same in having no information.
Polishing example: an uninformative subject and a late introduction
OriginalSubject: Hello / Body: Hi~ I'm so nervous writing for the first time lol. I'm a new hire who just joined, and I'm learning a lot from my seniors. Anyway, if you have time, could you maybe send me the data?
RevisedSubject: [Data request] Q3 sales status data (OOO, Sales Planning) / Body: Hello, this is OOO from Sales Planning. I am preparing the Q3 report and would like to ask whether I could receive the regional sales status data. If I get it by Monday, October 14, I can include it in my work. Thank you for your time.
What changed and why
The subject changed from "Hello" to "[Data request] Q3 sales status data (OOO, Sales Planning)." The point, affiliation, and name are all in the subject.
"So nervous lol" and "new hire" were removed. The reader doesn't need to know you're new, and expressions of feeling take time before the point.
"Anyway, if you have time" became "I am preparing the Q3 report." A brief reason why you need the data lets the other person judge the priority.
"The data" became "the regional sales status data" and "by October 14." Telling them what to send and by when gets you an answer in one go.
The template of a first email
All three examples use the same template: subject (what + who), greeting with affiliation and name, reason for contact (the connection), the point in one line, the information needed or a deadline, and a signature. A self-introduction is fine in one line of affiliation and name; the longer it is, the more the point gets buried. Here are sentences you can use as they are.
Subject: "[Inquiry] Whether ○○ is possible regarding ○○ (affiliation, name)"
Self-introduction: "My name is ○○○ from the ○○ team." Once, in the first line
Connection: "I saw ○○ on your website and am writing to you." / "I am writing on ○○'s introduction."
The point: "I am writing to ask about ○○."
Signature: name, affiliation, and contact in three lines or fewer
